How can we help?

    Location Defaults [Breakdown]

    Follow

Location Defaults is a page in which Club Admins can appoint a default follow-up role, edit an email’s details, and set up which email address receives lead notifications. These defaults both expedite and simplify a club’s follow-up processes by installing universal standards for emails and follow-ups to defer to.

Location Defaults is a tab located within My Club’s ‘Location Settings’ page. It is broken into four segments:

Location Default Accounts • Location Send From Name
Location Campaign Email Addresses • Location Other Email Addresses

Click each link to jump ahead to its corresponding section.

    A. Location Default Accounts

This section assists Club Admins in appointing which employee(s) are, by default, responsible for following up with both Prospects and Members throughout each of the three stages of the Member Life Cycle: Prospect, Member, and PT Member. This insures that a club’s Prospects/Members are still tended to if ever responsibility for follow-up goes unassigned upon a Prospect’s creation.

Note: If a club’s employee does not possess an email address, a ‘(No Email)’ will appear next to the employee’s name within the dropdown menu.

    • Member Sales: The default employee responsible for following up with Prospects per their Membership Follow-Up Schedule.

Note: Member Sales is automatically responsible for following-up on all Web Leads.

    • Member Support: The default employee responsible for following up with Members per their Membership Follow-Up Schedule.

Note: When a Prospect purchases a membership, the Member Support employee will automatically override the employee that was originally responsible for that Member’s Membership Follow-Up. To prevent this override, leave this field blank.

    • PT Sales: The default employee responsible for following up with Members per their PT Follow-Up Schedule.

Note: The PT Sales employee will automatically override the employee that was originally responsible for a Member’s PT Follow-Up. To prevent these overrides, leave this field blank.

    • PT Support: The default employee responsible for following up with PT Members who per their PT Follow-Up Schedule.

Note: When a Member purchases a PT agreement, the PT Support employee will automatically override the employee that was originally responsible for that Member’s PT Follow-Up. To prevent this override, leave this field blank.

    B. Location Send From Name

This section assists club staff in customizing the ‘source’ of a club’s follow-up and direct contact emails.

Note: Leaving the Contact From Name blank will result in each email displaying its participating employee as the source of the email.

    C. Location Campaign Email Addresses

This section assists club staff in their conduction of multiple campaigns while also allowing them to pick where any potential response emails will be received. Club OS provides customization for two campaigns.

Each campaign contains two fields: ‘From Name’ and ‘Reply to Email’.

    • From Name: This field shows campaign recipients  ‘who’ it was that sent them their campaign email.

Note: This field becomes required upon the use of its accompanying 'Reply to Email' field.

    • Reply To Email: This field inserts an email address into all of a campaign’s emails, allowing recipients the ability to respond to the club. Upon clicking 'Save', Club OS will verify whether an entered email is, both, properly formatted and exists. Both factors must be correct for an address to qualify as a Reply to Email.

Note: Each campaign must possess a ‘Reply to Email’ address before that campaign can be usable.

    D. Location Other Email Addresses

Unlike the previous two sections, the Location Other Email Addresses section displays the email addresses in which certain automated notifications are received.

    • Weblead Notification: The email address in which the notifications of a club’s newly acquired Web Leads are received. Due to the fact that all Web Leads are automatically assigned to whichever staff member is the club’s defaulted Member Sales employee, that employee’s email address ought to be included within this Weblead Notification field. Upon clicking 'Save', Club OS will verify whether an entered email is, both, properly formatted and exists. Both factors must be correct of an address to qualify as a Notification email.

Note: Multiple email addresses may be entered, provided that each address is separated with a comma.

    • Guest Pass Expiration Notification: The email address in which the notifications of a Prospect’s expiring guest pass are received. Upon clicking 'Save', Club OS will verify whether an entered email is, both, properly formatted and exists. Both factors must be correct of an address to qualify as a Notification email.

Note: Multiple email addresses may be entered, provided that each address  is separated with a comma.
