    How to Access and Schedule Club Reports

    Club Reports provides its users a detailed record of a club’s performance within a designated date range. These reports breakdown a variety of specified topics such as Sales Rank, Unpaid Invoices, and Referral Conversion. Through the use of reports, Location Managers and Club Admins can see the state of their club more clearly, thus enabling them to lead more competently. For steps on how to access, filter, and schedule specific reports, read below.

    Accessing Club Reports

    Begin by selecting the ‘Reports’ tab from the sidebar menu.

     

     

    Within the Reports page is a list of every report that is currently accessible by the club. Scan the list to find a specific report.

     

     

    Once the report has been located, a user can either access the report immediately or schedule the report to begin sending automatically in the future.


    A. To Access the Report Immediately

    Click the report’s name.

    A pop-up window will appear. Towards the top is a description of the report’s purpose.

    Below, the report’s filters aid the user in distinguishing which data they wish the report to show. Report filters include ‘Date Range’, ‘Location’, ‘Employee’, 'Group Locations'. However, filters change per report and not all filter options are included in each report. 

    Definitions of these filters include:

    • Date Range: Enables the user to establish which timeframe they wish their report to reflect. Options include: ‘Month to Date’, ‘Past 30 Days’, ‘Last Month’, ‘Yesterday’, ‘Today’, and ‘Custom Date Range’.

    • Location: Allows the user to run the report for either ‘All Locations’ or a specific club site.

    • Employee: Allows the user to run the report for either ‘All Employees’ or a specific staff member. 
    • Group Locations: This option compiles each location's corresponding data into one row on the report. Each location selected for the report will be assigned an individual row. This enables users to more concisely compare multiple locations and their corresponding data in one report. 

    Once the report’s filters have been set, click ‘Email Now’.

    Within minutes, the report will arrive at the email address that is currently attached to the user’s Club OS account.

     

     

    B. To Schedule the Report

    Click the ‘[+ Schedule]’ link.

    A pop-up window will appear. Towards the top is a description of the report’s purpose.

    Below, the report’s filters aid the user in distinguishing which data they wish the report to show. On top of containing Option A’s identical filters (ex. ‘Date Range’, ‘Location’), this window also adds the Schedule-specific filters: ‘Name’, ‘Frequency’, ‘Time of Day’, and ‘Other Recipients’.

    Definitions of these new filters include:

    • Name: This box lets the user re-title a report to their liking -making it easier to distinguish amongst their other email.

    • Frequency: This filter allows the user to establish the timing of the report’s recurring delivery. (Options include ‘Daily’, ‘Weekday’, ‘Weekly’, ‘Bi-Monthly’, and ‘Monthly’.)

    • Time of Day: This filter allows the user to decide at which hour of the day they would like the report delivered.

    • Other Recipients: This box lets the user add the email address of any employee who the user wishes to share their report with.

    Once the report’s filters have been set, click ‘Save’ to instate the schedule.

    To immediately receive the report, as well, click ‘Email Now’. Within minutes, the report will arrive at the email address that is currently attached to the user’s Club OS account.
