    How Do I Set User Search Filters for Search Actions?

    Purpose

     

    The ‘Filter Results’ section enables users to narrow search results by specific criteria such as role, status, location, date range, etc. Understanding the purpose of each filter is important to successfully performing ‘Search Actions’. This article defines each filter and its purpose to clarify why it may be required for certain search actions.  

    Note: The filter options will be presented in order, starting from the top and moving down.



     

    Role

    Role filters narrow search results by user role. All roles are pre-selected by default. Click the small white box next to each role to deselect it. Or, use the ‘Select: All / None’ option located to the top right of the role filters. Select ‘All’ to select all filters. Select ‘None’ to deselect’ all filters.

      

     

    Prospect Subfilter 

    The ‘Prospect’ drop-down menu filters prospects according to  ‘Active’ or ‘Inactive’ statuses. 

    • Active: Prospects currently in the Member (M) Follow-Up schedule. 
    • Inactive: Prospects who are no longer in the Member (M) Follow-Up schedule. 
    • All: Both active and inactive prospects included in search results. 

     


     

    Location 

    The ‘Location’ drop-down menu filters search results by location. 

    How this helps: This filter is especially well suited for owners or club admin's responsible for multiple club locations. 

     



     

    Membership Follow-Up

    The ‘Membership Follow-Up’ subsection is a grouping of filters devoted to the Member (M) Follow-Up schedule. 

      


     

    Assigned Follow-Up Employee (M)

    The ‘Assigned Follow-Up Employee’ drop-down menu filters search results by members or prospects that are assigned to a particular employee in the Member (M) Follow-Up schedule. 

    How this helps: This filter is especially useful for locating and reassigning follow-ups of an employee who is leaving the club.


     

    Follow-Up Status (M)

    The ‘Follow-Up Status’ drop-down menu filters search results by member or prospect statuses such as Lead, Referral, Active Guest, etc. Click here to review member and prospect status definitions.

     


     

    Contact # (M)

    The ‘Contact #’ drop-down menu filters search results by the number of times a prospect or member has been contacted through membership follow-ups. This filter consists of two separate drop-down menus:

     

     

    1. The Qualifying menu consists of four qualifying statements that work in conjunction with the numerical value entered in the second drop-down menu: 

    • Equal To: Filters search results by prospects or members who have been contacted the exact amount of the numerical value. 
    • Greater Than or Equal To: Filters search results by prospects or members who have been contacted the exact amount or a higher amount of the numerical value. 
    • Less Than or Equal To: Filters search results by prospects or members who have been contacted the exact amount or a lesser amount of the numerical value. 
    • All: No qualifying parameters placed on search results. 

    2. The Numerical menu ranges from 1-10. The values represent the amount of times a prospect or member has been contacted through the Member (M) Follow-Up schedule. 

    Example: If a user needed to locate all prospects in the system who have not been contacted at least three times by follow-up, then they would entered 'Less Than or Equal To' in the Qualifying menu and '2' in the Numerical menu. The search results would populate with prospects who have been contacted two times or less in the Member (M) Follow-Up schedule. 

     

    No Next Follow-Up Date 

    The ‘No Next Follow-Up Date’ button filters search results by members or prospects who have no scheduled follow-up in the Member (M) Follow-Up schedule. Click the small white box to choose this filter.



     

    PT Follow-Up (PT)

    The ‘PT Follow-Up’ subsection is a grouping of filters devoted to the Member (PT) Follow-Up schedule. 



     

    Assigned Follow-Up Employee (PT) 

    The ‘Assigned Follow-Up Employee’ drop-down menu filters search results by members that are assigned to a particular employee in the Member (PT) Follow-Up schedule.

    No Next Follow-Up Date

    The ‘No Next Follow-Up Date’ button filters search results by members or prospects who have no scheduled follow-up in the Member (PT) Follow-Up schedule. Click the small white box to choose this filter.


     

    Assigned Trainer

    The ‘Assigned Trainer’ drop-down menu will populate with all active trainers for a location(s). Select an individual trainer to filter search results by the members they have been assigned.  

    How this helps: In the event a trainer is leaving a club, this filter is especially useful for locating and transferring their assigned members to another staff member. 



     

    Origin

    The ‘Origin’ drop-down menu filters search results by origin type, the method by which a lead first contacted the club. Click here to visit the Club OS glossary for definitions of the origin types.  

    How this helps: This is especially useful for tracking how many leads resulted from specific origin such as web lead forms, T.I. (telephone inquires), or walk-ins within a given time range.



     

    Marketing Source

    The ‘Marketing Source’ drop-down menu filters search results by the advertising method that initially attracted the prospect or member to the club. The drop-down menu will populate with all marketing sources a location(s) currently has enabled as well as past sources now disabled.

    How this helps: Marketing source data enables clubs to track the impact of each advertising method, past or present, on new member growth.



     

    Employer

    The ‘Employer’ drop-down menu filters search results by the member or prospect’s employer as listed in their profile.



    Note: Clubs who use Genesis as a billing provider will see this column as 'Guest Source'.

     

    Contact Info

    The ‘Contact Info’ drop-down menu filters search results by contact information saved in the member or prospect’s profile. 

    How this helps: This filter can be used to identify prospects or members who are eligible for certain outreach campaigns, such as locating all prospect profiles with email addresses to include in email campaigns.  



     

    Time Range

    The ‘Time Range’ filter consists of two features: 1. ‘Date Type’ drop-down menu 2. The two calendar icon/fields. When used in conjunction, the Time Range filters search results by an event date (date type) which occurred during a set timeframe (calendar icons).

     

     

     

    1. Date Type

    The ‘Date Type’ drop-down menu filters search results by one of six event dates:


     

     

    • Created Date: The date on which the profile was initially created.
    • Last Login Date: The last date a member logged into Club OS

             Note: This does not apply to AF clubs as AF members cannot log into Club OS.

    • Follow-Up (M) Date: The scheduled date that a prospect or member will next be contacted by a follow-up.
    • Follow-Up (PT) Date: The scheduled date that a member will next be contacted by a follow-up specifically about PT.
    • Conversion Date: The date that a prospect was converted to a member.
    • Latest Sale Date: The most recent date a member was sold either PT or a membership.

     

    Note: Select the ‘Clear’ button above the drop-down menu to clear all ‘Time Range’ settings.

     

    2. Calendar Icons

    The calendar icons are used to establish the date parameters of the search. The left icon is the Start Date. The right icon is the End Date. Selecting either calendar icon or its corresponding field opens a calendar pop-up window (as shown below). Select the desired date(s) from the calendar pop-up window.



     

    Online users only

    The ‘Online users only’ filter narrows search results to members currently logged into Club OS. Select the small white box to choose this filter. 



     

    Note: This filter does not apply to Anytime Fitness. AF members currently do not have the option to log into their member profiles. 

     

    Include deleted

    The ‘Include deleted’ filter enables deleted profiles to populate the search results if they correspond to filter criteria. Select the small white box to choose this filter.
